Privacy Notice

This notice explains what information Leonidas Consulting collects through this website, how that information is used and stored, and the choices you have. It covers two ways you may share information with us: the public inquiry form and the private client portal. Tom Leonidas, PE, MBA, operates Leonidas Consulting from Bellevue, Washington.
Information we collect
Inquiry form. When you submit the inquiry form, we collect what you provide: your name, organization, role, email address, phone number (if you choose to share it), your area of interest, and your message.
Client portal. When you are given access to the client portal, we collect your name and email address, which identify your account. As you use the portal we also store the documents you upload (with their titles, categories, and version history), the messages and replies you send through the portal, and the meeting records (agendas, pre-reads, minutes, decisions, and follow-ups) that Leonidas Consulting posts for your organization.
We do not use advertising cookies, tracking pixels, or third-party analytics on this website. Basic server logs are kept only to operate the site securely and are not used to profile you.
How we use your information
Information from the inquiry form is used to respond to your inquiry and to discuss whether an advisory engagement makes sense. Information in the client portal is used to deliver the advisory services you have engaged — sharing documents, scheduling and recording meetings, tracking action items, and communicating with your advisor. We do not sell, rent, or share your information with anyone outside of Leonidas Consulting.
Client portal accounts
Portal accounts are created by Leonidas Consulting and provided directly to the people authorized to represent your organization. Your password is stored only in an unreadable, hashed form. You are responsible for keeping your sign-in details confidential and for activity that occurs under your account. If you believe your credentials have been compromised, contact us immediately so the account can be secured.
The portal does not send you email. To read messages or see updates, you sign in to the portal directly. Any welcome instructions or sign-in details are delivered by Leonidas Consulting through our own email, not by an automated message from the portal.
Documents and messages
Documents you upload to the portal are stored in private storage that only authorized members of your organization and Leonidas Consulting can reach. Messages sent through the portal are visible only within your organization's portal and to your advisor. Access to each organization's portal is enforced at the database level, so one organization cannot see another organization's documents, meetings, or messages.
Please upload only documents you have the right to share and that relate to your engagement. Avoid placing information such as full Social Security numbers, complete bank account numbers, or other data that is not needed for the advisory work into portal documents.
Client data and artificial intelligence
Your organization’s information is not used to train artificial intelligence models. Documents you upload to the portal, messages sent through the portal, meeting records, and inquiry form submissions are never submitted to public or third-party AI services for model training, data mining, or any purpose unrelated to your engagement. We do not enable features that allow an external service to learn from client content, and we do not share client content with AI providers for training.
If AI-assisted tools are used in advisory work, they are used only where the tool’s terms prohibit training on submitted data and where the information remains under Leonidas Consulting’s control. Where that cannot be assured, the tool is not used with client information. If this practice changes, this notice is updated first and the change is communicated to affected organizations before it takes effect.
How long we keep it
Inquiry submissions are kept only as long as needed to respond and follow up. If no engagement results, we delete the information within a reasonable period. Information in the client portal is retained for the duration of the engagement and afterward as needed to meet recordkeeping obligations or your own retention needs; you may request deletion of portal content when the engagement ends, subject to any records we are required to keep.
Security
We take reasonable measures to protect information, including encrypted connections, hashed passwords, restricted access controls, and organization-level isolation in the portal. No method of transmission or electronic storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information against unauthorized access, loss, or misuse.
Your choices
Submitting the inquiry form is voluntary, and you may contact us by email or phone instead. Using the client portal is also voluntary once an engagement exists. You may ask us to update, correct, or delete your information at any time by emailing tom@leonidasconsulting.com or calling 425.900.6709.
Changes to this notice
We may update this Privacy Notice from time to time. The “last updated” date at the top reflects the most recent revision. Continued use of the website or client portal after changes are posted constitutes acceptance of the updated notice.
